Once all the details of the employee/dependant account and taxation requirements have been entered onto PRACSYS, another officer must authorise those details.
He or she will need to access the 'ADPA' (Authorise DoF Payee Details) function, either from the Claims Management menu or less commonly, from the Direct Payments menu.
Authorisation on the system is simple. The screen looks almost exactly like 'VDPA' (View DoF Payee Details), except for extra fields marked 'Authorise (Y/N)'. To authorise the details, enter 'Y'es.
Authorisation is an important function. It is included as a step in the process as a means of checking that the payee's details are correct.
Therefore, never authorise anything without thoroughly checking the data first. This can never be emphasised enough.
Never simply scan what co-workers have entered, and authorise his or her entries blindly. He or she is only human, and may have transposed numbers, misread some detail, or made a simple keying error.
It is a lot easier to check the payee's details to make sure they're right than it is to recover money.
Once authorised, transactions are sent to DoF for processing.
Authorisation will be required every time the following are created or changed:
-
name;
-
address;
-
account number;
-
account name/alternate name.
