Diary accumulation occurring while on leave was discussed earlier.  Mention was also made of the area manager redirecting the workload to another staff member.

It is quite critical that reallocation of claims, or at least diaries, occur while staff are absent.  This will prevent:

  • a backlog of diaries; and

  • any very important diaries being overlooked.

All Team Leaders and other managers have a function called 'ADA.GF' (Re-allocate Diaries) on their General Facilities menu.  Using this function, they can either select one or many diaries to transfer to a new user.

This can be done for staff who are on leave for the day (where a diary might be particularly urgent, such as where a claimant is due in the office that day to be interviewed), or can be performed against users who will be absent for longer periods.  It is a simple process that should be performed regularly.

This of course then leads on to the need to ensure that access profiles are correct when staff do move, and new supervisors become attached to users.

Access profile changes are essential if the diaries process is going to work successfully.  There are many implications to profiles not being correct, including the inability of some users to delete their diaries.

As PRACSYS ties in so closely to many areas, there are often wider implications than just what is seen on a screen.

Example

A Review Manager has User ID ZGZ.

He is attached to Team CACT12.

In his User profile, he is attached as Team Leader to Team CACT12.

All his team is attached to Team CACT12, showing User ZGZ as their Team Leader.

If any one of these areas falls down, with either the Team Leader profile, his attachment to the Team set-up or one or all of his team missing any of the above detail, diaries will not perform correctly.
