Diaries

The Rehabilitation functions of PRACSYS generate more diary activity than any other part of the system.  Again, this is in line with the importance of commencement and monitoring of the whole rehabilitation process.

Rehabilitation diaries include:

DIARY

WHAT TO DO

RTWP Closure Monitoring

ACTION

A RTWP is still open even though the end date of the RTWP has expired.  Follow up with the Case Manager about whether a closure or amendment to the RTWP will be provided.  The diary won't delete until either a RTWP closure or amendment has been entered.  As this is an 'action' diary, the 'Close RTWP' function in the Claims Management menu will automatically be invoked.

RTWP Requested

ACTION

No RTWP has yet been registered on PRACSYS, even though a letter has automatically been generated requesting a RTWP from the Case Manager.  Follow up with the Case Manager about whether a RTWP is going to be provided.  The diary will delete once a RTWP is either registered, or a RTWP will not be required.  As this is an 'action' diary, the 'Create RTWP' function in the Claims Management menu will automatically be invoked.

RTWP Acknowledge Request

ACTION

This diary is sent to the claims manager when another user has registered a RTWP or amendment.  As an 'action' diary, the 'Amend RTWP' function in the Claims Management menu, will automatically be invoked.

RTWP/Claim monitoring

INFORMATION

In cases where no interim goals are entered for a RTWP, and only a final goal is registered, this diary is a reminder to monitor the employee's progress periodically during the life of the RTWP.

RTWP Return to Work monitoring

ACTION

This diary is a reminder to check the progress of an employee's return to work.

Claim type parameter exceeded

INFORMATION

This diary tells the claims manager when a claim has changed from Risk Type 1 to 2.  Commence rehabilitation action as with other Type 2 claims, where appropriate.

Claim type parameter exceeded (Type 1)

INFORMATION

This diary differs from the one above, telling the Team Leader when a claim has changed from Risk Type 1 to 2 where the claims manager is not authorised to deal with Type 2 cases.  Redistribute the claim to a more experienced manager.

Incapacity follow up

INFORMATION

Sometimes incapacity is determined for a claim which exceeds when a RTWP is due to be completed.  This diary indicates the likelihood of further need for rehabilitation.  Talk to the Case Manager and discuss proposed follow up action, taking into account ongoing incapacity.

RTWP amount exceeded

ACTION

When a RTWP is entered on the system, estimated costs for the RTWP are included.  This diary is issued when those estimated costs are exceeded by accounts registered in the 'Create Claim Invoice' function.  As an 'action' diary, the 'Amend RTWP' function will automatically be invoked.

End of Plan monitor

INFORMATION

This diary is an alert for the claims manager, indicating that a RTWP is due to be completed.  Contact the Case Manager to ensure he or she is aware that the RTWP is due to finish, and that either a closure or amendment is required by the time the RTWP date has expired.

RTWP/Claim monitoring (1 month)

INFORMATION

As an ongoing management guide for a RTWP, this diary is a reminder to check the progress of the current RTWP, to ensure that goals are being met.  Consider discussing the claim with the Case Manager and checking PRACSYS for the current status of incapacity and invoice payments.

Follow up N or R status RTWP

INFORMATION

This diary is a reminder that, where a RTWP has been made non-compliant or rejected, follow up is required with the Case Manager regarding his or her intention with the RTWP.  He or she may choose to refine the RTWP so it is compliant, or may prefer to provide a closure.

This area of PRACSYS has been designed to closely monitor and follow up RTWPs.  However, it is not enough to just get rid of a diary.

In order to successfully manage a claim, take each rehabilitation diary seriously and understand that these diaries will help to ensure the return to work processes for claims are progressing satisfactorily.
